Questions to Ask ALL Callers
Q1: How many people at MOST will be in our space at any given time? Ask this first because it doesn’t matter WHAT they’re doing, if we cannot handle their required capacity.
✅ If less than 40, proceed to next question.
🚨 If OVER 40, how many exactly? Will they all be in the space at the same time, or will they be staggered across multiple hours? Prospects seeking over 40 guest count in the space at once, should be referred to me. We cannot service more than 60 guests in the space at once.
Q2: What do you want to rent our space for? Will there be alcohol or food? Drinking games?
✅ If PRODUCTION. Ask what specifically they intend to do in the space. Photoshoots are OK. Music videos and big productions, etc. refer them to me.
🚨 Do they plan to use fog/haze/smoke or do anything out of the ordinary? Refer them to me.
✅ If EVENT. Ask for details about their plans in the space. Baby showers, micro-weddings, celebrations of life, etc. are all OK!
🚨 No rager parties, dance events, loud music, raves, frat parties, etc., that could wear and tear the space heavily or upset neighbours and disturb common areas in the building. Turn them away immediately if it’s a wild rager.
✅ If EVENT and they want to sit more than 30 people at tables mention that there are only 30 folding chairs, and the rest of the seating is scattered across stools, couch, and mixed seating.
Q3: How old is the AVERAGE age of attending guests.
Sometimes people say “It’s all 19+ don’t worry”. This answer is not acceptable. We want to know the average age of guests to determine if the majority of guests will be 30+.
✅ If older crowd, classy group, then proceed to next question.
🚨 If younger crowd, in their 20’s, refer them to me and do NOT quote them.
Q4: When are your desired ENTRY and EXIT times? Please factor in time to set-up, and tidy up. Based on this I can give you a rough quote. Be mindful to not ask about “Start and Finish times” but “Entry and Exit times” instead. Some people will think they only have to pay for the times during which their event is happening, and not for set up and cleanup as well.
🚨 Sometimes people will ask “Will I be paying for the time while setting and cleaning up?” to which we answer as follows.
✅ “We rent our space out on an hourly basis, so please factor in the entire time for which you will require our space for your rental.” This means if they want to come set up at 10am and come back at 5pm and end the party at 8pm and need an extra hour to clean until 9pm, then they pay from an ENTRY time of 10am until a 9pm EXIT time.
✅ I also add “to avoid paying a pricey cleaning fee, I suggest you schedule some time to ensure the space is left exactly as you found it or better”. The cleaning fee +350, unless booked in advance then it’s +250.
Q5: Are there any guests attending which are ever rowdy, violent, throw up, or cause trouble?
🚨 These are all RED FLAGS and we do not allow these type of guests.
✅ If you suspect it’s a young or rowdy group, consider mentioning that if there’s any trouble like this, the guests are immediately asked to leave.
How to Quote
BEFORE YOU QUOTE:
✅ Tell them this is a rough estimate and may be subject to change since you are new at quoting, and I will deliver the final quote to them later.
✅ Mention, “please add tax to all figures I give you”.
✅ Mention, “some things are extra and need to be added on by tapping/clicking the checkboxes in the booking form”.
For PRODUCTION & STUDIO Renters:
✅ Listed prices are for MAX 10 people, but can expand to 20 people for +$200
✅ Lighting on C-Stands (NOT ceiling lights) are included but renters must watch video on how to use. Tap here for lighting tutorial.
🚨 Price after 9pm: 250/hour for every hour after 9pm.
For EVENT & MUSIC VIDEO Renters:
✅ Listed prices are for MAX 30 people, but can expand to 40 people for +$200
✅ If required, access to 5 large folding tables and 30 folding chairs is included for no extra cost. Mood Lights (the string, fairy, neon lights) are also included for free.
🚨 Extra to rent HD Projector (includes screen) +100, Whiteboard +50
🚨 Price after 9pm: 250/hour for every hour after 9pm.
SALES NOTE:
When saying numbers of how much stuff costs, say the shortest possible way. For example, a rental that’s $1,250.00 CAD should be states as “twelve-fifty”, instead of “one thousand, two hundred and fifty dollars”. It sounds cheaper when it’s shorter and it works.
